Dear faculty and staff,
Greetings to you all as we prepare for a most exciting fall semester! As you read this, our students are returning to campus and excitement about the semester is seen in the bright eyes of the parents and students we have on campus in the past few days!
As campus life resumes and the fall term begins, it is critical that we reinforce CUWAA’s screening, symptom, and exposure reporting process for employees who are working onsite.
- Complete the SafeColleges COVID-19 learning module online, if not already done.
- Complete a daily symptom check each day using the University’s Medicat application
- Follow prescribed protocols as described in the Uncommon Employee Return, such as use of cloth face masks, social distancing, and workspace cleanliness.
- Stay home from work if you have any symptoms of COVID-19, if you are exposed through close contact (within 6 ft. for 15 minutes or longer, no mask) with a person who has tested positive for COVID-19, and/or are being tested for COVID. Please note: When you complete the daily Medicat application it will give you further instruction as well.
What if there is a case or exposure to COVID-19 at a University site?
The University has established a very robust program for handling cases of exposure to COVID-19 and confirmed cases of the infection when they are identified. The daily Medicat screening application plays a pivotal role in our notification process; therefore, please ensure you complete each morning/prior to coming to the worksite, 7 days per week. Once the screening is completed by you, if you are not able to answer all questions positively and/or the color received is other than ‘green’/negative exposures, an employee should remain off the worksite and await further instruction. Human Resources will work with managers/supervisors on any employee cases that require notifications, tracking and tracing, if needed.
Here are some important things to know in case of COVID concern:
Faculty and Staff members who have completed the daily Medicat screening and have a status other than ‘green’, should stay home/work from home when able with supervisor approval, and await further instruction. By completing your daily Medicat tracker, it will alert Human Resources to contact you, but you can also immediately contact your supervisor and/or Human.Resources@cuw.edu and the employee will be given instructions for isolation and/or quarantine, if applicable. Managers/Supervisors will be notified by Human Resources with further instruction, if applicable.
When a workplace exposure has occurred, Human Resources will coordinate workplace notification with supervisors/managers of the employee’s department. If the employee has not been at work during the infectious period, notifications are not needed.
Human Resources will work with supervisors to follow these protocols:
To protect employee privacy (government HIPAA regulations apply), managers/supervisors can only acknowledge a case. They cannot give out the employee name, but can share further information about the campus investigation process if the COVID-19 positive employee has already notified co-workers or given written permission to do so. Supervisors can also share that additional information will be coming and that exposure is rare in work settings if face masks are worn and social distancing (within 6 ft. for 15 minutes or longer) is maintained.
If a COVID-19 positive employee recently worked in a confined space or has an individual office/workstation, Human Resources will work with housekeeping to disinfect and the physical workspace maybe closed temporarily until that time the process is completed.
Refer employees with concerns about close contact with an individual with possible symptoms, exposure or positive COVID-19 testing (i.e., being within 6 ft. for 15 minutes or longer, not masked) to stay home, do their daily Medicat Screening, and to contact email@example.com or 262-243-4414.
Employees should seek medical advice from their own healthcare professional to determine if testing is advised. An employee who is going for testing should remain off the worksite until that time the test result is returned. If an employee would like additional testing information they can go to the employee tab of the portal and review testing site options that the university knows are available in the area, the list is not exhaustive and other options maybe available.
The employee including their identity and health status, is private information. Do not share with other members of the team (government HIPAA regulations apply).
